Online Bookings for Businesses - FAQ's

  1. What are online bookings?

Online bookings allow website visitors to book, pay and confirm a service at a specific date and time, entirely over the Internet. This process avoids the need for phone or email contact, saving businesses time and money and helping improve conversion.

  2. Why online bookings?

Many businesses are already accepting online bookings. By adding online booking functionality you can allow visitors to our website that are interested in your services to book and pay directly for that service, using our integrated online booking functionality.

Here are some reasons you’ll love taking bookings online:

    • Take bookings at any time direct to your business – it operates 24’7.
    • No risk of missed calls or emails.
    • Fully automated – customers can add and manage their own bookings.
    • Improve utilisation – ensure your staff our fully booked.
    • Easy to manage – login from wherever you are.
    • It is simple and effective.

  3. Who can use the online booking system?

Any Claimed (free) and Featured (paying) businesses listed on ActiveActivities can set up online bookings.

This means you must have at least claimed a Free Listing on ActiveActivities to add online booking functionality. If you have not yet claimed your listing, you can add or claim your listing here. If you already have a Claimed or Featured listing, login to the Members area to set up your booking profile, services and availability.

  5. Who is Naked Bookings?

ActiveActivities has partnered with Naked Bookings to integrate their booking functionality into this Website.

Naked Bookings has been built with merchants in mind and powers thousands of service providers. The Naked Bookings system is proven to increase revenue, service and bookings while reducing no shows and the administration time to manage bookings manually.

  6. What if I already use another booking system?

If you already have a booking system then please contact us to let us know who provides your existing system and we will investigate if we can integrate with them to send bookings directly into your booking system.

  7. Will I be automatically set up for online bookings?

No, your business will not be automatically set up for online bookings and you can keep your current listing as-is should you choose to.

  8. How do I set up online bookings?

To set-up your business to take online bookings you will firstly need a Business Listing.

If you don’t have one, you must first create a Business Listing.

If you already have a Business Listing then set up online bookings here.

Once you have created your account and set up the services available for online bookings we will then review your details and add a booking widget to your business listing. This process usually takes less than 24 hours.

  9. How does online bookings work?

Firstly you need to set up online bookings by adding relevant business details, services, pricing, locations, staff, resources and availability. No credit card is required.

Each account has an online diary to help you manage bookings and once set up, you will be able to access and view this diary from anywhere with an Internet connection and a Browser. You can login in at any time to check your online diary and the status of your bookings. You can also use this online diary to manage all your customer’s bookings along with your existing calendar to ensure you receive no double bookings.

We then add a widget to your business listing on ActiveActivities to allow customers to book direct with you at any time, night or day.

When bookings are made, you will receive notifications via email with the details of the booking and your online diary will automatically be updated.

ayments are made to you when the customer has paid us, less our commission for originating the booking.

The system also provides functionality to help you manage staff, resources and locations.

You are responsible for delivering the service to the customer as specified. We act as your agent and are not responsible for final delivery to the customer.

The businesses listed on ActiveActivities, who have setup online bookings are responsible for delivering the services booked with them.

The Digital Company (TDC) operates ActiveActivities and acts as your businesses authorised agent with respect to taking online bookings. We take no responsibility for the delivery, quality or completion of the service as booked and promoted on our website.

A contract is thus formed between you and the booking customer via our website, and the responsibility is with you and your business to ensure the services are delivered as advertised, booked and paid for. Should this not occur, we cannot be responsible for any claims, negative feedback or reviews that may occur as a result or any impact on your business reputation as a result.

  12. What does it cost?

There is no cost to set up and use the online booking functionality.

There is an origination commission payable on all bookings you receive from ActiveActivities. This commission is also only payable on bookings that have been booked and paid for by a customer and is only charged on the initial booking made through ActiveActivities. Future bookings made directly with you from this customer do not have a commission fee payable. There is no monthly booking volume limit for bookings sourced from ActiveActivities.

There is no fee for the Freemium Naked Bookings package which includes access to the full booking system and up to 100 bookings per month updated manually or received from other websites where you have the booking widget installed. Commission is only payable on bookings that have been paid in full by the customer.

You will only be charged this origination commission on bookings made through ActiveActivities.

In addition, this commission is only charged on the initial booking through ActiveActivities. Future bookings made directly with you from this customer do not have a commission fee payable, resulting in a long term customer for your business for a very low upfront cost.

The commission payable also covers the costs of credit card processing fees.

For services priced at less than $20 (excluding GST), there is a flat $5 fee (excluding GST) per booking payable. If your service is listed at less than $5 you will need to pay ActiveActivities the difference between the money collected from the customer and the $5 charge + any credit card processing fees.

  14. Will I pay commission on all future bookings for customers from ActiveActivities?

You will only pay commissions on bookings originated from ActiveActivities. Any future bookings from that customer made direct with your business or directly through your website or other channels will be commission free.

These are customers that may be retained for years from paying just that initial upfront booking commission. This is thus a great way of finding new customers for your business at a low acquisition cost.

  15. Is there a minimum price I must sell my services for?

No, but for services priced at less than $20 (including GST), there is a flat $5 fee (including GST) per booking payable.

If your service is listed at less than $5 you will need to pay ActiveActivities the difference between the money collected from the customer and $5 + any credit card processing fees.

Failure to pay may result in removal from the website and reporting to credit agencies.

  16. Can I use the online booking software to receive online bookings from other The Digital Company (TDC) websites?

Yes, there are a number of other TDC websites that may be able to send additional bookings to your business using the same online booking process and widgets.

You will need to set up accounts on the other TDC websites but you will be able to use your existing Naked Bookings account.

For more information about other TDC websites, click here.

To contact us at TDC, click here.

  17. Can I use the online booking software to receive online bookings from my business website and other websites?

Yes, but you will need to install the booking widget on the relevant websites and set up your own payment gateway. The widget is provided in Settings within your Naked Bookings Account and you can add payment gateway details in the Booking Preferences page when setting up.

When creating your account, you automatically get this free for up to 100 bookings per month. Pricing then starts from $39 per month or 80c (eighty) per additional booking. Click here to find out more about available pricing and features.

  18. Will I pay a commission on bookings from my website or other websites where I install the Naked Bookings widget?

No, you only pay a commission on bookings sourced from ActiveActivities.

  19. How do I know when I have received a new booking?

You will receive a booking notification that will be sent to your nominated email address. You can also see all new booking alerts in your diary view. It is thus important to ensure your email contact details are always up to date and that you check your email regularly.

There is also an optional SMS alert service for you and booking customers, however this is a paid service to cover the costs of the SMS. This can be set up when you set up your booking profile on Naked Bookings but will require a credit card to be entered.

  20. Do customers also receive reminders for their bookings?

Customers who have made online bookings with you will receive various email notifications and reminders. You can also set up SMS alerts for your customers however this is a paid service to cover the cost of the SMS. This can be set up when you set up your booking profile on Naked Bookings but will require a credit card to be entered.

  21. How much and when do I get paid for online bookings made direct with my business?

You will be paid the price of the service booked, less a 25% commission once the Cancellation Period has passed and the payment for the services from the Customer has been received and cleared at our bank. Look for payments from The Digital Company on your bank or credit card statement.

  22. What if I don’t receive payment before the service is due?

We cannot guarantee that you will receive payment before the service is due as this will depend on the length of the No Cancellation Period set by you, the time taken for the payment from the Customer to be received and cleared at our bank and the time taken for the payment from the website to you to be received and cleared at your bank.

If you are concerned, please contact us and we can investigate the status of the payments.

We guarantee that when we have received the payment and it has cleared our bank, that you have delivered the service and there are no outstanding disputes, that we will pay you that amount due less the commission payable.

  23. Why do you need my bank details?

To ensure that we can pay you for the bookings made on our website.

  24. How are cancellations managed?

As part of the booking set up process businesses will need to specify a time period prior to the service being delivered, in which a booking can be cancelled, amended or changed by a Customer (to be known as the Cancellation Period), and to specify and time period prior to the service being delivered, in which a booking cannot be cancelled, amended or changed by a Customer (to be known as the No Cancellation Period). In the Naked Bookings system the No Cancellation Period is known as the Allowable Cancellation Time.

The default No Cancellation Period is 48 hours, however you can change this in the Settings area to allocate a longer or shorter timeframe to suit your business needs.

Customers are able to manage, amend and cancel their own bookings using the online booking functionality, until the end of Cancellation Period. During the No Cancellation Period customers can no longer change or cancel their booking using the online booking system and will need to discuss the matter directly with you. In these circumstances any commission collected for the service will not be refunded by the website to you.

For example: if your No Cancellation Period is set to 48 hours, up to 48 hours before the booking date and time, the customer can cancel their booking or change it using the online booking platform. Within 48 hours of their booking date and time, they will no longer be able to cancel or change their booking online and will need to manage this directly with you.

IMPORTANT NOTE: We recommend using the default 48 hour No Cancellation Period to ensure you increase the chances of receiving payment from us prior to service delivery. A less than a 48 hour No Cancellation Period means the money might not have been processed and paid to you before the service is due to be delivered.

Please ensure you have carefully read the Online Bookings section of our Terms and Conditions with respect to cancellations, changes, amendments, charges and payment of online bookings.

  25. What if the customer cancels, amends or changes their booking?

If a customer CANCELS their booking prior to the end of the No Cancellation Period, we will manage the process and refund them their money less a small credit card and administration processing fee of two and a half percent (2.5%). You will be notified of the cancellation and your online diary will automatically update to show this time as now being available.

If the customer CHANGES or AMENDS their booking prior to the end of the No Cancellation Period, we will manage the process and you will be notified of the changes. There is no fee payable by the customer for these changes. The original booking will be cancelled and refunded and the new booking charged to the customer.

The customer will NOT be able to change, amend or cancel the booking in the online booking system during the No Cancellation Period and you will need to manage any change requests, amendment requests, expectations and cancellation requests direct with the customer during that time. In these circumstances any commission collected for the service will not be refunded by the website to you.

    In summary:

    Cancellation Period No Cancellation Period
Cancellation of booking A customer can cancel bookings through the online booking system during the cancellation period.

The website will refund the Customer the full amount paid less a 2.5% credit card and processing fee.

The customer needs to deal directly with the Businesses where they made the booking.

There is no charge to the Customer for this.
A customer cannot change or amend bookings through the online bookings system during the no cancellation period.

The customer needs to deal directly with the Businesses where they made the booking.
  26. Can a business cancel or change a booking that has been made?

Yes, but it is a requirement that the business delivers the service to the customer at a reasonable time and in a reasonable time frame or they will need to refund any monies received from the customer.

If a business cancels before the end of the Cancellation Period, through the online booking system, then the business will need to refund any credit card processing fees and bank charges incurred by the website on making the refund, to the website. If a business cancels during the No Cancellation Period they will need to deal with the customer directly and refund any monies due directly to the customer, and any commissions retained by the website will not be refunded by the website.

  27. What reporting for online bookings is provided?

Monthly activity reports are provided by email, and these will include any online bookings made with your business.

You can also either login to the Members area on our website or into your Naked Bookings account to view more detailed reporting.

  28. How can I get more bookings through ActiveActivities?

  29. If I have a paid Featured Listing, do I still need to pay a booking commission?

Yes, you need to pay a booking commission on all bookings originated from ActiveActivities for which you have received a payment, whether you are a Free or Featured Listing.

Signing up to a Featured Listing is optional. Featured Listings receive more exposure and visibility across ActiveActivities, and you may thus receive more bookings to your business.

Click here for more information on the benefits of Featured Listings.

  30. If I am paying a booking commission, do I need a Featured Listing?

No, you don’t need a Featured Listing, but if you do sign up to a Featured Listing your business will receive more exposure and visibility across ActiveActivities and you may thus receive more bookings to your business.

Click here for more information on the benefits of Featured Listings.

  31. What are the Booking Preferences in Naked Bookings set-up?

These Booking Preferences allow you to set-up a payment gateway to receive payments from your own website and gives you the code to install the widget on your website.

Please note, the TDC payment gateway and widget for this website will be automatically installed and is unrelated to these Booking Preferences.

  32. What if I want to stop taking online bookings?

You can disable the ability to take bookings from within your Naked Bookings account by removing your services which means the widget will show as no services available, alternatively you can contact us and we will remove the widget. We will only remove the widget from your listing on written instruction to do so.

Note, the removal may not be immediate depending on the time your request is submitted. If you remove your products and services or change your availability to zero, then bookings can be stopped immediately.

  33. Does cancelling my Naked Bookings account cancel my ActiveActivities account and vice versa?

No, as these are separate accounts. Each account will need to be cancelled separately.

  34. Who can help if I have a question?

For all issues related to this website and your commission based bookings, please contact us.

Naked Bookings, our online booking partner, provides support for all queries related to the booking system functionality and upgrades, just use the chat box in your Naked Bookings account or contact them via the Naked Bookings website.

  35. Why is The Digital Company appearing on my bank or credit card statements?

As The Digital Company (TDC) operates numerous marketplaces, all payments are processed centrally via a secure third party and as such all payments processed will appear on your bank or credit card statements as “The Digital Company”.

  36. Where can I find the terms and conditions related to receiving online bookings?
